Text-to-Win Concert Seat Upgrade

Objective:

To provide Intersport with a mobile-based platform that would allow them to seamlessly execute a real-time seat upgrade promotion as a part of their client’s activation of a music tour sponsorship. The platform needed to allow concert attendees to enter the contest in real time prior to the show start, with all data immediately available to Intersport and their client. The system also needed to randomly select a winner from the database of entries and provide the result immediately. EPS customized our SMS text platform to achieve these goals and exceed our client’s expectations.

Parameters:

  • Intersport’s client held a promotion in select cities in which participants could text to win a seat upgrade.
  • Text-to-win promotion cities included Austin, San Jose, San Diego, Phoenix, LA, Detroit, Chicago, Nashville, Atlanta and Denver.
  • EventPro Strategies customized our SMS text platform for the promotion, allowing concert attendees to enter the contest by texting their entry information to a unique text code.
  • 12 banners promoting the contest and displaying the text code were placed throughout each venue, primarily near concession lines.
  • Brand Ambassadors were utilized at select events, in which the text code was also featured on the back of their shirts.
  • The promotion and corresponding text code were also advertised on the jumbotron above the stage from the time the concert doors opened until 15 minutes prior to the beginning of the concert. Participation increased closer to show time.
  • The winner of the seat upgrade was selected randomly by the EPS system.

Program Elements:

  • Consultative Partnership: EPS worked hand-in-hand with Intersport to adapt our SMS platform to work specifically for the program. EPS worked to ensure our solution met their expectations and provided tangible and meaningful results.
  • Ease of Use: The EPS Text-to-Win system was simple to use, both for Intersport and the end user.
  • Quick and Simple Set Up: The system was easy to set up and quick turn in terms of development. Intersport commented that “the hardest part of development and set-up was figuring out what we needed to say and what needed to be included legally. (The system) set up was very easy.”
  • Real Time Data: All participant data was available to Intersport in real time via a client portal.
  • Random Winner Selection: The EPS system was able to randomly select a winner, removing this aspect of the sweepstakes from Intersport and allowing their teams to focus on driving the program’s success, not its administration.

Results:

Intersport and their client felt that the EPS Text-to-Win platform was very well suited to their needs and was both easy to use and set up. The client was also happy with the number of attendees that were reached and participated in the sweepstakes. Intersport expressed that they would use EPS again if a similar project came about, and that they would definitely recommend both the platform and EPS’ services.

The EPS Talent site features an event blog that showcases some of our most recent events, so we encourage our field team members to check it often. Brand: US Army
Program Details:
  • Large-scale experiential marketing tour with the goal to enhance the image of the US Army and demonstrate it as an exciting and challenging opportunity for new recruits.

  • Events took place at NHRA races and other locations across the country.

  • EPS hired energetic, enthusiastic staff who were trained to stay super interactive throughout the event, even when working long hours in outdoor elements.

Program Details:
  • Program goal was to generate awareness of COPD with on-site NASCAR attendee testing and results.

  • Over 750 staff recruited, screened, trained and staffed; 70-100 per market, per day

  • 8 NASCAR markets

  • Using a digital tablet, the EPS team administered a five-question screening to patrons. EPS’ staff exceeded the number of screenings required by the client

  • EPS delivered a detailed post-event recap and reporting analysis.

EPS Continues to Pioneer and Innovate into 2014

2011-birdsnest-001 EventPro Strategies embraces our role as a leader in the experiential marketing and event staffing industry, and in part it has been our commitment to pioneering change that has elevated us to that position. We are continually looking inward, and ahead, for ways in which we can strategically improve both our processes and the client experience.

As 2014 gets underway, we look forward to continuing to elevate our clients’ event marketing campaigns through some of our new updates and innovations:

  • Operations Department Restructure: Last year EventPro Strategies restructured our Operations team to form unique, “micro teams” that include a Program Manager, Program Coordinator and a Recruiting Specialist. In these roles, we offer greater transparency, and our team members are better able to focus on driving results for our clients and grow our talent database and relationships.

  • More Sophisticated Operating Systems: Since originally launching the proprietary EPS Tracker System® 2.0 in 2009, we have continued to update and enhance our system on a monthly basis. From systems integration to a real-time SMS Talent check-in system, EPS continues to invest in improving our operating systems to include client-centric features such as real-time data capture and assimilation, ROI measurement and customized talent training/testing.

  • Mobile Technology: Last year EPS adapted mobile technology tools specifically for the experiential marketing industry and launched our sister company, Needle Movers.   • EPS coordinated multiple in-person staff trainings in each market, and made sure that the entire staff had all program materials at each event.
  • EPS managed all trade spend for all events, and ensured through EPS credit card controls and monitoring that both spend limits and all program requirements were strictly followed.
  • Client portal technology featured a talent repository, on-line testing, report cards, and scheduling capabilities.

YERBA BUENA GARDEN PARTY

Objective:

To create an interactive large-scale single-site party at the Yerba Buena Garden in San Francisco with a view to increasing brand awareness for VMware

  • Large-scale and multi-faceted activation in a single location
  • Activities included inflatable basketball court, ice-skating, bull-riding, rock climbing and much more!

Parameters:

Provide a large team of fully-trained Brand Ambassadors and on-site EPS Project Management to facilitate a smooth flow of traffic and oversee the individual elements of the activation.

  • 2 Team Leaders, 23 Staff and 5 backups (total of 30 highly experienced event staff)
  • EPS Project Manager on-site to oversee talent check-in and provide assistance to JMW on-site managers.
  • 2-hour in-person training on the day before the event

COORS LIGHT SILVER BULLET TOUR

SHUTTLE STEWARD STAFF

End Client: Abbott Vascular
Program: Corporate Events and Sales Meetings

Objective:

Create a one-of-a-kind VIP experience for Abbott Vascular employees who attended a national annual convention held in Santa Clara, CA and Temecula, CA.

  • EPS talent were responsible for creating a first class experience by serving beverages and snacks to the employees on shuttles from their hotels to the convention center and acting as a group guide on-site at the convention.

Parameters:

Elements Exhibits required Welcome staff to greet Abbott Vascular employees in their hotel lobbies and Shuttle Staff to serve as hostesses on the shuttles taking the employees from their hotels to the convention center.

  • Shuttle Staff traveled with Abbott Employees from San Francisco to Santa Clara and San Diego to Temecula.
  • The San Francisco location required three shifts of Shuttle Staff containing three Shuttle hostesses per shift, and the San Diego location required one shift containing four Shuttle Hostesses.
  • Each shift required Welcome staff to greet Abbott employees in the lobby of their hotel and direct them toward the shuttle that took them to the convention center.

Results:

Abbott Vascular employees received a first-class experience from the Welcome Staff and Shuttle Hostesses provided for their annual convention.

Each shuttle was equipped with a customer-service oriented Hostess and each Hotel contained two Welcome Staff to greet the employees.

  • Additional Program Details:
  • Shuttle Hostesses were required to have previous food/beverage serving experience.
  • All talent were screened and booked based on their customer-service skills, previous serving experience and professional clean-cut appearance.
  • All staff were required to use cell phones while on-site to facilitate communication between client, shuttle operators, convention staff and other talent, and ensure the timely delivery of information.

HILTON WORLDWIDE USA HOUSE – CONCIERGE STAFF VANCOUVER OLYMPICS

Program: Canada Event Staffing

Objective:

EPS Staff were hired to fulfill Concierge responsibilities for VIP attendees at the USA HOUSE (a private, invite-only venue associated with the US Olympic Team

  • Staff interacted with current and previous Olympic Star Athletes, celebrities and other VIPs
  • EPS Staff were screened to provide the Client with the premium hospitality skills requested for this event

Parameters:

EPS provided 15 Concierge Staff to cover 62 shifts over 20 days. Each Concierge completed a post-event report card/shift worked.  The intent was to provide the Client with important feedback during the event to better meet the short term needs of the attendees to the Vancouver/USA HOUSE and also with the long-term goal of improving USA HOUSE venues in the future.

  • Vancouver Canada
  • EPS Staff assisted the Client with daily Tracking of materials distributed to USA HOUSE attendees including maps of Vancouver and surrounding Olympic venues and the prized limited-edition Olympic pins.

Results:

Program was a success according to all of the Client’s on-site reports. Thousands of visitors to the USA HOUSE were treated with the exceptional courtesy which is expected from all Hilton Worldwide employees and affiliated venues.

  • Client reported successful Training shifts and all ensuing shift activations • EPS Talent reported a positive atmosphere and high morale on siteProgram Details:
  • All Talent hired needed to have previous hospitality experience, bi-lingual Talent was preferred and a deep knowledge of Vancouver, BC in order to better serve the attendees to the USA HOUSE with transportation suggestions, local/regional directions and local entertainment/dining suggestions.
  • Security was high at the USA HOUSE and all Talent needed Security clearance in order to work this event.
  • Each EPS Talent was required to report on their specific shift when it was completed and also to offer estimates on merchandise that was distributed(i.e. maps, Olympic pins, etc). The Client now has 100+ daily reports from EPS Staff to inform the Concierge Staff at a future USA HOUSE location.

DREAMWORKS’ BEE MOVIE

Large-scale publicity stunt to promote the release of the movie ofJerry Sienfield’s “Bee Movie” on DVD

Parameters:

  • 2 Costume Characters – switching off as “Queen Bee”

Timing:

  • 1 day, PR blitz event

Program Elements:

  • All Team Leaders and Brand Ambassadors dressed as bees and “swarmed” New York City looking, acting, and sounding like bees
  • The big costume character bee acted as “Queen Bee” and led the “colony” of 95 bees around the city
  • The group made media stops along the way at the Today Show, Good Morning America, and MTV’s TRL
  • Brand Ambassador’s also handed out
